Use this checklist before placing an import order, especially your first with a new supplier.
Before ordering
- Confirmed the product doesn't require an import license or face quota restrictions
- Vetted the supplier (references, samples, or a factory inspection for larger orders)
- Agreed a minimum order quantity that matches your actual need
Terms
- Agreed a price alongside a named Incoterm
- Agreed a payment method matched to your trust level with this supplier
- Found the correct HS code for your product
Cost planning
- Estimated total landed cost — goods price, freight, insurance, duty and VAT
- Confirmed whether a free trade agreement reduces your duty rate, and what documentation that requires
Shipping
- Confirmed who arranges freight and insurance under your Incoterm
- Chosen air or sea freight based on timeline and cargo value density
- Received the bill of lading or airway bill in advance of arrival
Customs clearance
- Confirmed commercial invoice, packing list and bill of lading all state consistent quantities and values
- Engaged a customs broker if needed
- Confirmed duty and VAT payment method before the shipment arrives
On arrival
- Checked goods received against the packing list and original order
- Filed a claim with your insurer immediately if there's damage or shortage
- Saved every document for your records
