Commercial Invoice Template Guide

A commercial invoice is the document customs and your buyer rely on most. Missing or inconsistent fields are one of the most common causes of clearance delays.
Required fields
- Seller and buyer full name, address, and contact details
- Invoice number and date
- Full description of goods (material, function — enough to support the declared HS code)
- Quantity and unit of measure
- Unit price and total value, in the agreed currency
- Incoterm and named location (e.g. "FOB Mersin")
- Country of origin
- Payment terms
A minimal worked example
Commercial Invoice #INV-2026-014
Date: 2026-07-25
Seller: Example Textiles Ltd, Izmir, Turkey
Buyer: Example Imports GmbH, Hamburg, Germany
Description: Men's cotton knitted T-shirts, HS 6109.10
Quantity: 2,000 pcs
Unit price: $4.50
Total value: $9,000.00
Incoterm: FOB Izmir Port
Country of origin: Turkey
Payment terms: 30% advance, 70% against B/L copy
Common mistakes to avoid
- Stating a price without an Incoterm
- A product description too vague to justify the HS code used
- Quantities that don't match the packing list
- Missing currency (always state it explicitly)
